The Commute Usage Entry frame is used to separate business usage from commute usage for tax reporting purposes. The value of System Flag 5255 will have an impact on how this usage is entered and recorded. See the System Flag section below for more details.
The Location in the Commute Usage Information Section will default to the location where you are currently logged in. To change the location, type a new location in the Location field or double click in the field to select one from the list of values (LOV).
To make a new Commute Usage Entry, entry a valid Unit Number in the blank Unit No field. The Description and Effective Date will automatically populate. The Effective Date will default to the date at the time of entry.
Next enter the number of Business Days Used for the vehicle followed by a valid meter reading in the Meter field. You can check the Meter Override flag if necessary. If the system detects a meter rollover situation the Unit/Component Use/Cost screen must be used to correct the meter before the record can be saved.
The Commute Usage field is where you would enter the number of miles used for non-business purposes, i.e. commuting usage.
The remaining fields will be displayed in a read-only format:
Current Operator – Current operator from Unit Operator Assignment.
Business Usage – Total usage minus any commute usage entered from the entry (Previous Commute Meter field minus Previous Commute Usage field).
Previous Commute Entry Date – Date of the last commute usage entry.
Previous Commute Meter – Meter reading from last commute usage entry.
Previous Commute Usage – Usage from the last commute usage entry.
Current Meter Date – Date from the current meter reading.
Current Meter – Value of current meter reading.
Current LTD Usage – Value of current LTD usage.
After all information has been entered and verified, click the Save button at the top of the frame to complete the entry.
5255 – Method to Enter Commute Usage Data? (D/M) – Setting this flag to "D" will preserve existing functionality. Setting this flag to "M" will allow only one commute usage entry for a given unit per month. The effective date will default to the last day of the prior month. This effective date can be changed by the user to the last day of another month as long as the date does not precede any existing prior entry, skip a month in the succession, or represent a future date.
AUTO UPDATE LTD USE – If a user has this privilege, then they will be able to update life-to-date usage when entering commute usage entries.
