Warranty Cancellation Code

Warranty Cancellation Codes are user-defined codes used to identify why a job with a warranty violation was cancelled. This frame allows you to create and maintain a list of Warranty Cancellation Codes.

 

If System Flag 5066 is set to ‘Y’ entry of one of these codes will be required when cancelling a warranty job on Work Order Main in the Warranty Notes pop up Reason field.

 

Create

 

To create a new Cancellation Code, click in the blank Reason Code field and type in a new code. This field has a limit of one character.

 

Then type in a description in the Description field for the Cancellation Code. This field has a limit of 20 characters.

 

For example: A – ACCIDENT, E – ENTERED IN ERROR

 

Once the entry is complete, click the Save button at the top of the frame. The new code will now be available for use.

 

Modify

 

You can only modify the description of existing codes. Once a code has been created and saved, you cannot modify the value in the reason code field.

 

To change a description, click in the description field and type the new description over the existing description. Click Save to update the record.

 

Disable

 

To disable a code, check the Disabled box in the row of the Cancellation Code you want to disable. Click the Save button. The code will no longer be available for use.

 

Delete

 

You can delete a Cancellation Code provided it is not in use by any other tables in the system. If the code is in use, you will not be able to delete it.

 

To delete a code that is not in use, click in the row of the code you want to delete to make it active. Click the Delete button (Red X) at the top of the frame. The selected row will turn red. Click the Save button.

 

The record will be removed from the system and will no longer be available for use.

 

System Flags

 

5066 – Validate Warranty Cancellation Reason? (Y/N) – Warranty Cancellation Reason must always be entered when cancelling a warranty violation (automatic or manual), however, when this flag is set to Y, the Warranty Cancellation Reason value is validated against the Warranty Cancellation Reasons setup on the Warranty Cancellation Frame.

 

When this flag is set to N, the value must be entered to actually cancel the warranty, but is not required to be a validated value.

 

5248 – Allow Warranty Cancellation Without Authorization? (Y/N) – allows the user to cancel or update warranty by entering a reason without entering a username and password.

 

Role Privileges

 

WARR CANCELLATION – allows the user to cancel a warranty.
