The Product Receive frame allows you to record the receipt of your fuel products into inventory once they have been delivered. You can perform this receipt transaction with or without a Product Order.
If there is a product order, the quantity received here on this frame is deducted from that order until you receive all of the product ordered. You can receive it all at once or do a partial receipt of the product in different increments.
The Location for the receipt will always default to your current login location. Enter the P.O.# or double click in the field to select one from the list of values (LOV).
The Order Date, Vendor No., and Contract No. will populate automatically with values from the Product Order. Enter a Reference Number for the receipt; this is a required field and has a limit of twelve characters.
To view details for a closed PO, or to reopen a PO, you can check the flag boxes in the Closed Items section. If you are receiving without a product order, you can skip these steps and enter the Vendor Number and Reference Number to perform the receipt.
The PO Details will display on the i-frame. Each line will show the Product Number, Description, Tank, Received Qty, Status, Received Date, Unit Cost, Total Cost, Complete Line, Balance Due, and Order Quantity.
For each line on the PO Detail, enter the Received Quantity. The Received Date will default to the current date. The Total Cost will default in automatically, but you can change the value if necessary.
The Balance Due displays how much of the product has yet to be received. If you are receiving all of the ordered quantity at one time, the Balance Due will display as zero.
If you are performing a partial receipt and the quantity received is not the full quantity on the P.O. line item, you may still close the line by clicking on the Complete Line box.
When you are finished, click the Save button at the top of the frame to receive the product into inventory.
