Employee Position Tracking

Overview

The Employee Position Tracking screen allows you to associate Employees to unique Employee Position Codes. This allows for the tracking of specific organization charts or budgetary positions where each employee position is not a job title, but is a specific "box" on an organization chart. So if, for example, you have 100 people in an organization and five open spots as a result of retirement, promotions, transfers, etc., then there are really 105 positions in the organization.

 

Screen Layout & Workflow

The top part of the screen functions like a query screen and allows you to search for and view existing Employee Position Tracking data based on certain selection criteria. The second part of the screen is where you can manage and edit employee associations within your organization.

 

Employee Position Class Code and Employee Position Code are required before the assignment of an Employee (or the identification of an Employee Position Code being Vacant) can be saved. They must be valid Employee Position Codes and Employee Position Class Codes. This field is read-only.

 

Employee Number must be a valid active M5 employee. This is an optional field. If entered, the employee is not allowed to be assigned to any other position code, otherwise the system will issue an error message and display employee’s current Employee Position Code number.

 

Name or Vacant is a display-only field and will be displayed when an Employee is entered. Otherwise, “VACANT” will appear in the name field. The Schedule Shift must be valid shift type. This field does not pull from the employee record, this field is open for edit to enter and save a valid shift type for that position. Scheduled Shift Description is the Description of the Schedule Shift and is display only.

 

The Application User assigned to the entered Employee will display. This field should default if the Employee is assigned on M5’s Application User screen. It is an optional field and is display only. If an employee is assigned to more than one Application User ID, then an error message stating that more than one Application User ID exists and the assignment of the employee to a position code should be prevented.

 

A/B is a new field on Employee Main that will default when an Employee is assigned to an Employee Position Code. It is display only. Employee Position Location must be a valid M5 Location and is designed to be the location where the Employee Position Code is assigned. This is a valid M5 location and does not have to be the employee’s home location or a maintenance location. This field is open to edit.

 

Employee Position Location, Employee Position Code Status,  Employee Position Code Effective Date, and Employee Position Authority all come from the Employee Position Code table. Department Code must be valid department and is not required. Direct Account must also be valid and is optional. When you click on the Note icon, the standard M5 note editor will appear and up to 4000 characters of notes can be entered.
